You wanna be part of that? We are looking for an Office assistant to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety. You will be first and last face guests see when they visit our offices. With a passion for hospitality, you should be confident dealing with a constant flow of information and people.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Responsibilities

Office management :

  • Greet vendors and suppliers. Provide general support to visitors
  • Manage inbound and outbound mail and shipping
  • Serve as the point person for maintenance, mailing, shopping, supplies and equipment
  • Maintain a well-organized work environment and organize office operations and procedures
  • Manage relationships and contracts with vendors and service providers
  • Assist in ordering and stocking of office & kitchen supplies
  • Collaborate with the team engagement activities and assist with the production of events (social, company meetings, meet-ups, etc.)

Administration :

  • Coordinate with the Office Manager responses to Support team queries about payroll, vacation, sickness and office requests

Onboarding:

  • Be involved in the recruitment and onboarding process. Job publication, candidate screening, initial interview, Preparing accounts and equipment before they start, onboarding session (2hrs explaining how Stuart works, office rules, vacation, sickness, etc.)

Who are you?

  • 1 to 2 years of experience assisting teams
  • Excellent time management skills and ability to multitask and prioritise work
  • Attention to detail and problem solving skills
  • Positive and friendly attitude
  • Excellent written and verbal communication skills
  • Fluent in english and spanish
  • Strong organisational and planning skills

What is a plus?

  • Labour law knowledge (i.e Labour studies)
  • Fluent in French
