PA to the CEO (Maternity Cover)

We are looking for Personal Assistant to the CEO initially part-time (3 days a week) until May 2019, after which it will become full-time. This will be a maternity cover to the PA to the CEO who is also the Office Manager; and the role also supports some of the activities of our Human Resources department.

The ideal candidate will have some PA/EA experience at Senior to Executive level, and will have excellent time-management, multi-tasking skills; and excellent attention to detail. The responsibilities will include assisting the CEO, processing employee data, updating databases, office and facilities management, extensive diary management and other duties as they are required.

To be successful in this role, you should have solid organizational skills, be familiar with HR processes and HR as a function; and be flexible with a start-up mind-set. Any previous experience within a start-up or FinTech, would be advantageous.

PA & Office Admin:

  • Act as the first point of contact between the CEO and internal/external clients
  • Screen and direct phone calls
  • Handle requests and queries appropriately
  • Manage diary and schedule meetings and appointments
  • Make travel arrangements
  • Order office supplies
  • Produce reports, presentations and briefs
  • Devise and maintain filing system
  • Maintain the highest level of confidentiality
  • Run errands as needed
  • Other ad hoc requests

  • HR

    • Maintaining employee records
    • Update internal HR databases (HRIS, ATS and Benefit platforms)
    • Create and distribute guidelines and FAQ documents about company policies
    • Assist with talent acquisition activities such as scheduling interviews
    • Prepare reports and presentations on HR-related metrics
    • Assist with internal training and onboarding activities
    • Respond to employees’ questions (for example, questions around benefits and company policies)


    • Previous experience as a PA/EA or another similar role
    • Excellent communication skills - both verbal and written
    • Knowledge of office management systems and procedures
    • Ability to engage with stakeholders at all levels
    • Ability to maintain the highest level of confidentiality
    • Familiarity with Human Resources Information Systems (HRIS) or a willingness to learn
    • Good level of competency across the Microsoft office suite - word, excel, PowerPoint etc
    • Excellent organizational skills
