Part-time People and Office Operations Analyst

Not only will the position take on the responsibility of ensuring the slick running of our office, it will also be assisting and supporting our VP Operations to hire and nurture employees and building on our fun but hard-working culture.

We are looking for an individual with fantastic emotional intelligence and pragmatic when solving problems to join us on a part-time basis. If you aspire to one day lead a Talent and People department, this role is a brilliant stepping stone to gaining quick knowledge and responsibility. This role will be reporting directly to VP Operations. It is a 6 months internship that may develop into a full-time role based on performance. Responsibilities for this role include, but not limited to:


Office Administration:

  • assistance with meeting room bookings
  • ordering office equipment and supplies
  • manage office maintenance (i.e. shredding etc)
  • assistance with flight bookings
  • office maintenance
  • first point of call for office phone
  • first point of call for meeting and greeting guests
  • monitor our email support platform, ensuring tickets are responded to/forwarded to relevant departments in a timely manner
  • assist with the search and logistics of office movements
  • liaise with serviced office management regarding facilities
  • Assist colleagues whenever necessary



People Management:

  • manage junior recruitment search for candidate, CV/Application screening and interviews
  • prepare all employee contracts/paperwork (incl. pension letters etc)
  • all employee / outsourced resource on-boarding and off-boarding project management/admin (incl. feedback surveys and improvements)
  • implement procedures to get accurate data on recruitment metrics and employee satisfaction and help provide reports
  • assisting L&C with updating of employee policies and trainings
  • developing training materials
  • organise and maintain personnel records
  • team events planning
  • special occasion management (year anniversaries, birthdays etc)
  • assistance with rollout/communication of new systems and company processes
  • updating employee portal
  • ensuring logged holiday and sickness in employee management system for all staff
  • assist VP Operations with managing and implementing benefit packages + budgets
  • assist Finance Operations Executive with payroll and pension administration
  • Identify top reasons why candidates and employees choose to work with our company and recommend areas of improvement for our HR procedures
