The Executive Assistant’s responsibility is providing support and administrative assistance to four Functional Heads; Commercial Operations, Technical Operations, Quality and Market Access, along with their respective departments.


Major Activities and Responsibilities

The Executive Assistant will provide support to the above team as follows:


  • Diary management using Microsoft Outlook
  • Organise global travel arrangements, including flights, visas, transfers and accommodation
  • Book and arrange video conferences, teleconferences for key team meetings
  • Book, arrange and manage small internal/external team meetings
  • Support head of event management in meeting logistics
  • Create expense reports; collect receipts and enter into reports and submit for approval
  • Completing Needs Assessment Forms (NAF’s)
  • Raising contracts with suppliers
  • Create and track Purchase Orders and invoices for the team
  • Meet and greet all visitors
  • Handling of post and couriers (incoming and outgoing)
  • Help setting up equipment and systems for new team members
  • Filing as required
  • Adhoc project work as required
  • Working experience on Pharmaceutical or Biotech organisation
  • Demonstrable working experience within a Global team
  • Minimum intermediate MS Office skills (Word, Excel, Outlook, and PowerPoint).
  • Excellent communication skills and the ability to work cross-functionally across a range of cultures and personality types
  • Proven experience supporting multiple senior level management an advantage
  • Ability to be flexible and highly motivated, with strong organisation skills and the ability to multi task
  • Ability to manage shifting priorities to meet critical deadlines in a fast paced and dynamic environment.
